Executive Assistant

Job description

In the time it takes you to read this job ad, around 200 new accounts will have signed up to Linktree.

You: A combo deal of executive and personal assistant that is able to keep two extremely busy leader’s lives in order

Us: Linktree, a rapidly growing Australian tech company. 30,000+ new account sign-ups a day kind of rapid.

A match? Let's discuss further.

We’re looking for a Personal/Executive Assistant who possesses a unique mix of skills to support one of our Co-Founders Anthony and Head of Brand & Comms Katie with a range of day-to-day tasks; diary management, booking travel arrangements, helping out with a range of administrative tasks as well as doing some family and household admin.

In one sentence: Communication, organisational, & people skills with high-level attention to detail and some tech-savviness.

Our Head Office is in Melbourne but we have people based across Australia, USA, Brazil and Indonesia and offer a very flexible remote way of working. Some of our team are fully remote, others are hybrid remote and in-office sometimes. While you will be working with teammates in all locations, you will need to be based in Melbourne.

Requirements

Instead of a list of demands, we'll tell you all the different things we'd love for you to challenge yourself within this role. As a startup in growth mode, the mentality of "I can do that given the opportunity, and with a bit of help from my team" is what we look for in all of our hires.

It would be great if you were able to:

  • Help Anthony prep for a meeting and send follow up information to the right people afterwards

  • Set reminders to pay Katie’s bills that are due this week

  • Call the nanny to ask that they start 1hr early tomorrow

  • Amongst all this, you will also need to book the babysitter for 3 separate times in the coming week and put in a grocery order to arrive by dinner time

  • And in the EA realm:

  • Use a lot of modern, cloud-based tools like Airtable instead of excel; we're not all millennials but we like easy to use platforms like this, so your Microsoft Word experience may not get used much here.

  • Assist with research for a variety of projects

  • Setup a board in Notion.so or Asana for teams to collaborate on.

  • Setup a company-wide Zoom, make sure it was recorded and the recording added to the right Slack channel or Notion page. (Maybe you know how to use automation tools like Zapier to do things like this)

  • Split of role: 80% EA, 20% PA

If you've read through the requirements as a checklist and haven't ticked every box, don't rule yourself out just yet. We've seen the research that women and other people in minority groups tend to only apply when the checklist is all ticks and no crosses. So if you think you have what it takes, hit that apply button!

What do we offer in return?

Linktree's company culture and values are based around collaboration, diversity, inclusion, and flexibility. Those are all nice words but to give you some more specific examples:

  • We have a paid 18 week parental leave policy that is inclusive of birth and non-birthing parents and supports the whole parenting lifecycle
  • We have several diversity and inclusion initiatives underway, including a D&I council, training for all staff on neurodiversity, unconscious bias and the incorporation of a transgender inclusion policy.
  • Our team is diverse across age, gender, and race and we are very proud of that.
  • All Linktree staff work either fully remote or a hybrid remote and in-office sometimes and that will continue even when COVID is behind us
  • Linktree contributes up to AUD $1,000 (or foreign equivalent) towards the set up of your home work-station for each employee
  • We prioritise our team's mental health, with all employees having free access to Smiling Mind & Uprise, including 1:1 coaching sessions from qualified psychologists or counsellors.
